And we are a registered data controller with the Information Commissioner’s Office (ICO), where our registration number is ZA196343. Rentlord respects our users’ rights to privacy. Our privacy policy below describes how we collect, use and protect your personal data when you use our site. Any details held by us about a property do not comprise Personal Data as defined by the Data Protection Act 1998. As such we may use any listings you create to promote your property and/or our site. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. By visiting www.rentlord.com (“our site”) whether as a guest or a registered user, you are accepting and consenting to the practices described in this policy. Your use of this Website is at all times subject to this Privacy Policy (which forms a legally binding contract between Rentlord and you) and all applicable laws. If you do not agree to this Privacy Policy, do not use this Website. This Privacy Policy applies to the services available from this Website and any of its current or future sub-domains. We reserve the right to change this Privacy Policy from time to time. Any such changes will be displayed on this Website. Your continued use of this Website following such changes shall be deemed to be your acceptance of such amended Privacy Policy. If you do not accept any such changes, you should stop using this Website.

Collection of Information

In order to provide the services you want, and to allow you to experience a more personalised service when you revisit us, we need to know your interests. We find these out by asking you, by reading your comments, and by looking at which are the most popular areas of our sites.

Information you give us. You may give us information about you by filling in forms on our site or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you register to use our site, subscribe to any of our services and when you report a problem with our site. The information you give us may include your name, address, e-mail address and phone number, financial, bank account, and credit card information.

Information about your client. Rentlord is a management platform that anyone can use to manage a tenancy. In some cases, you – the user of our website – may not be the owner of the property, but rather a manager of the property (an “Agent”) on behalf of the owner, or you may use Rentlord in collaboration with the owner. The owner may or may not become a registered user of our website. However, if in the course of helping you manage the property, we collect information about your client, we will treat the owner’s personal information at the same levels of privacy described in this document, even if your client does not become a registered user of the site.

Information we collect about you. With regard to each of your visits to our site we may automatically collect the following information: technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform;

Information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our site (including date and time); services you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number.

Rental Exchange by Experian

For the purposes of assessing your tenancy application and the ongoing management of your tenancy with us, we will share your data with Experian and undertake checks with them. These checks include: assessing the suitability of your application, managing your tenancy, verifying your identity and undertaking checks to prevent and detect crime, fraud or anti money laundering.

We will give details of how you manage your tenancy to Experian and if your do not pay your rent on time we will inform Experian of this. If you fail to make any payments due under this agreement, we will use your data and that from a credit reference agency to trace your whereabouts and recover payment.

Rentlord is a member of Experian’s Rental Exchange scheme. The Rental Exchange is a way to strengthen your credit report without you needing to take on new credit. The scheme enables us to share details about the rent you pay with Experian on a monthly basis. This is then included in your credit report, meaning you will then be recognised for paying your rent on time.

Not only will we be able to work with you more closely to manage your existing tenancy agreement, your track record as a tenant will enable Experian to use the information supplied to them in the future to assist other landlords and organisations to:

●  Assess and manage any new tenancy agreements you may enter into;

●  Assess your financial standing to provide you with suitable products and services;

●  Manage any accounts that you may already hold, for example reviewing suitable products or adjusting your current product in light of your current circumstances;

●  Contact you in relation to any accounts you may have and recovering debts that you may owe;

●  Verify your identity and address to help them make decisions about services they offer; and

●  Help prevent crime, fraud and money laundering.

We, and Experian, will ensure that your information is treated in accordance with the Data Protection Act so you can have peace of mind that it will be kept secure and confidential and your information will not be used for marketing purposes.

(f) If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of Rentlord Ltd, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

Your Data Is Yours

You have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data. You can also exercise the right at any time by using the unsubscribe process in any of our electronic communications.

Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. The Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.
